Position: HR and Facilities Assistant
Department: Human Resources
Location: Boston, MA
Job Description:
This is a varied, highly visible and responsible administrative position.  The primary purpose of this role is to act as a "Director of First Impressions," greeting all visitors and employees in a professional, courteous manner at all times, and maintaining the appropriate corporate image at the reception area.  There are two additional components to the position as an assistant for Human Resources and Facilities functions:

1. Human Resources
  • Recruiting process:
    • Logging resumes
    • Assisting hiring manager with viewing resumes and scheduling interviews
    • Greeting candidates and having them complete application forms
    • Sending candidate communications as directed
    • Generate employee folders when a hire is made
  • Intranet updates:
    • Updating all HR and Corporate sections and content including Corporate Calendar, Corporate News, Employee welcome, news, and company events/news, etc.
  • Employee Information Spreadsheet updates
  • Employee Telephone List updates
As back-up to the HR Administrator:
  • Provide information and guidance as needed to interns
  • Review invoices
  • Send out new hire packets, employee dependent change packets
  • Other tasks as needed

2. Facilities
  • Working with various vendors for Office nameplates, Travel, Teleconferencing, Office and Kitchen supplies
  • Primary contact for employees for facilities or building issues/requests
  • Primary contact with 175 Federal St Building Management firm
  • Manage visitor information with security desk
  • Oversee kitchens, inventory and order supplies
  • Coordinate meetings and provide support as needed for catering, materials, invitations
  • Assist in coordination and support for special events
  • Track expenses for HR spending
  • Maintain the Floor plan for office seating on 11th and 12th floors

Qualifications / Requirements
  • At least 2 years’ demonstrated experience in a similar front-desk position
  • At least 1 year in an administrative role in HR, especially for recruiting support
  • Motivated by providing excellent customer service to internal and external clients
  • Proven ability to multi-task and maintain focus and accuracy with detailed work in an interrupt-driven environment
  • Exhibit a professional, helpful, proactive demeanor
  • Strong MS Office skills required; HTML a plus

Position: Senior Securities Lending Associate
Department: Operations – Middle Office
Location: Boston, MA
Job Description:
This position requires candidate to take an active role with new implementations, discretionary lending, and creating operating procedures for new business initiatives. Candidate will assist Middle Office Manager with all aspects of implementations and new business, including communications with external parties, and internal departments (Borrower Relations, Operations) as well as creating operating procedures. Candidate should have excellent communication skills as the role will have significant interactions with external parties (borrowers, custodians and clients) and internal groups (operations, and borrower/client relations).

Responsibilities:
  • Active role with implementations and new business initiatives. Working with Middle Office Manager documenting procedures and work flows for unique implementations and elements of new business and Product Development initiatives.
  • Liaison between Borrower Relations, Operations and Billing Group on business matters, questions and issues that may arise related to new business.
  • Support Borrower Relations for growing discretionary lending business line
  • Working with Middle Office Manager and staff develop hands on approach to processing new business transaction workflows. Assist with the transaction processing, including opportunistic lending until such time as the process is routine and procedures documented.
  • Work with Operations Managers supporting increased usage of vendor automation throughout the Company.
  • Identify key controls and risks related to new business and document procedures to increase productivity and mitigate processing errors.
  • Handle all loan rate amendments for discretionary lending
  • Manage manually intensive exclusives and coordinate with Trading and Billing
  • Utilizing Data Explorers and other vendors to review market data and assist Trading for the discretionary lending program
  • Monitor and report on dividend trades to ensure correct billing and rates


Qualifications:

Seeking a college graduate with a BA/BS in accounting, finance, economics or related field; with at least two (2-3) years related work experience. Candidates must be detail oriented; have excellent oral and written communication skills; be capable of managing multiple projects; and possess good problem solving skills. Candidates should be proficient in MS Office (specifically Excel, Word and Outlook) and should have previous experience and/or proficiency in financial markets. Advanced Excel skills are desirable.
